
CHASS-CIS Event Cosponsorship Awards
Supplemental funding for events hosted at UC Riverside by CHASS departments and programs
Eligibility
- Hosted at/by UC Riverside (in person or virtual/hybrid)
- Hosted by CHASS departments
- Applicants must be CHASS faculty and/or graduate students
- Event is free and open to the public
- Event has committed funding (CHASS-CIS awards are supplemental and are not intended as the main/only source of support)
Award Amounts
Award amounts vary from $300 to $3000, depending on event type.
- Single speaker – $300
- Roundtable / Panel, 2 or more speakers – $500
- Conference, Graduate Student (organized or focused) – $300-$1000
- Conference, Professional Organization or Society – $500-$1000
- Conference, general – $500-$3000
- Performance – $500-$3000
- Workshops – $500-$750
- Other event types – amount varies, maximum $1500
Deadlines
Apply anytime!
- Applications accepted on a rolling basis.
- Applications received by the 1st of each month will be sent to committee for review that month.
- Awards are typically announced on the 15th of the month.
- Submit requests for funding as early as possible.
- Applications for future events (up to one year in advance) are welcome.
- Retroactive applications for past events will not be considered. Eligible events are those that take place after the date of application (i.e. after the first of the application month).
Funding Overview
- Funds are provided on a reimbursement basis after the event is hosted.
- Department finance teams are responsible for filing an expense report that includes total income and expense (posted or pending). Download budget template
- For timely processing, awards should be claimed within 6 months of the original event date.
- Unclaimed awards expire one year from the original event date and the funds will be reallocated to new awards.
Application Overview
Complete applications include:
- Total funding available for event
- Expected spending categories
- Event date, description, and mode
- Anticipated audience
- Assessment of impacts on graduate student education, engagement with the Riverside community, and/or research in the emphasis area
- Name and email address of the financial analyst or manager who will request reimbursement
Award Terms
Reimbursement Process
- Funds will be provided on a reimbursement basis to the hosting department, after the event takes place. (Departments with hardship conditions or other complications should contact Katharine Henshaw to discuss options.)
- After the event, departments share a list of actual expenses (posted and in process) on this template: Download Cosponsor Report Template
- Claims for reimbursement should be submitted in a timely manner, but no later than 6 months from the event date. Awards that have not been claimed within one year of the event will be forfeited.
- Following receipt of the report, CIS will provide 19900 (general) funding.
- If the full amount of the award was not expended, reimbursement will be provided for the total amount of actual expenses (including posted expenses and those submitted or otherwise in process).
Award guidelines
- Applicants are required to secure additional co-sponsorships for their events, in addition to the CHASS-CIS awards.
- All expenses must be allowable within UC policies and procedures.
- Awards cover typical event expenses, including (but not limited to) honoraria, travel, and event hosting costs.
- Awards may not be used to cover salary or tuition/fee remission. Restricted expenses (alcohol, gift cards, UC honoraria, etc) must be charged to departmental funds and cannot be covered by the award.
- Changes to event dates and/or project scope should be communicated in advance in writing to Katharine Henshaw.
Promotion requirements & support
- Promotions should acknowledge the sponsorship of the CHASS Dean’s Office and the Center for Ideas and Society on your flyers/posts.
- Cosponsored events should be listed on the UCR Events Calendar.
- Tag ‘College of Arts, Humanities and Social Sciences’ (under Department) and ‘Center for Ideas and Society’ (under Group) in the event set up screen.
- CIS will help promote tagged events.
